The short answer
A restaurant POS system doesn't cost what its fee says. It costs the fee plus everything charged on top: each extra device or module, the hardware, the card terminal fees and the setup, for as long as the contract ties you in. That's why two quotes are compared by adding up a whole year of everything, not by looking at the fee.
The three sums
Each month = fee + extra devices and modules + card terminal
First year = each month × 12 + hardware + setup
What you sign for = fixed monthly costs × months of minimum term + one-off payments
Fees change often and every program puts different things in its own, so the figure that matters is the one in your quote. To get it, ask for every line in writing and add them up.
Work out what a quote costs you
Enter the numbers from a quote, without VAT. If you have another one, enter it as quote B and you'll see which is cheaper over three years. Leave blank whatever they don't charge you.
Your quote
All amounts without VAT, or all with VAT, but not mixed.
- Each month
- —
- First year
- —
- Over three years
- —
- What you sign for
- No minimum term
What you sign for is what you pay for sure even if you leave early: the fixed monthly costs for every month of the minimum term, plus the hardware and setup.
A lower fee can turn out more expensive. If every waiter's phone or the kitchen screen is charged separately, the quote grows with your team, and the high season is when you need the most devices.
Line by line: what your quote has to say
Each line, with what's worth asking before you sign.
The software fee
Ask what it includes: updates, support, invoicing with VeriFactu or TicketBAI and the modules you're going to use, such as bookings, kitchen screen, clock-ins, inventory or takeaway orders. Also ask whether it's per venue or per device, whether it's paid monthly or yearly and whether the price includes VAT: the standard rate in Spain is 21%, under article 90 of the VAT Act.
Devices and licences
Some programs charge separately for every tablet, every waiter's phone or every kitchen screen. Count the ones you use on a normal day and the ones you'd use in August or at Christmas, and ask how much each extra one costs.
The hardware
Many cloud POS systems run in the browser of a tablet, a computer or a phone, so you can start with what you already have. To print receipts and kitchen tickets you need a thermal printer; the cash drawer and the card terminal depend on how you take payments. Ask whether the program makes you buy its own hardware and whether it's bought, rented or leased: a lease has its own contract, with its own term.
Setup
Installing, entering the menu with its prices and extras, setting up the printers and training the team. Ask what's charged and what isn't, who enters the menu and whether training is a single session or available every time someone new joins.
Support
Hospitality works nights, weekends and public holidays. Ask what hours they answer, through which channels (phone, WhatsApp, email) and whether support is included in the fee or charged separately.
Card terminal fees
What you're charged for each card payment is called the merchant service charge. Under Spain's Law 18/2014, it has three parts: the interchange fee, which goes to the bank that issued your customer's card; the processing and payment scheme fee; and the margin of your bank or whoever provides your card terminal.
The law only caps the first part, when your customer's bank and yours are both in Spain: 0.2% of the payment with a debit card, up to 7 cents, and 0.3% with a credit card; for payments of up to €20, 0.1% and 0.2%. Business cards fall outside that cap (articles 9 and 11). The rest has no cap: you negotiate it.
What to ask for in writing
- The merchant service charge for debit and for credit, and whether it changes with business or foreign cards.
- Whether there's a terminal rental or a monthly minimum.
- Whether the POS program keeps a share of what you take, on top of your bank.
The same law says two more things. With the cards that have that cap, you can't charge your customer a surcharge for paying by card (article 12). And banks and other payment providers must report the rates they charge to the Bank of Spain, which publishes them every quarter by card type and by business activity: they're useful to see whether yours is in the normal range.
VeriFactu: don't pay extra for it
VeriFactu is postponed to October 2028: Spain's Ministry of Finance announced it on 5 October 2026 and it still has to be published in the BOE, Spain's official gazette; until then, the legal dates are 1 January 2027 for companies and 1 July 2027 for everyone else. Your POS has to be adapted by then, and it's worth knowing now whether the adaptation is included in the fee or charged separately.
Spain's tax authorities don't approve software: the manufacturer signs a responsible statement that theirs complies. Ask whoever sells you the POS for it before you sign.

Minimum term and what happens if you leave
The minimum term is the number of months the contract binds you even if you want to leave earlier. When you sign up for your business you're not a consumer under Spanish law (article 3 of the consumer protection act), so its rules don't cover you: what you sign is what counts. Before you sign, make sure the contract tells you:
- How many months of minimum term there are and what you pay if you leave early.
- Whether it renews automatically and how much notice you have to give to cancel.
- Whether the price can go up during the contract.
- Whether the hardware is yours or goes back to the provider when you leave.
- How you take your data with you: sales, menu, customers and invoices.
What people forget most
Asking how you take your data with you the day you leave. If the menu, sales and invoices don't come out in a file you can open, switching POS costs more than staying.
The questions before you sign
Take them to every demo and tick them off as they answer.

What Food&Service costs
Food&Service has a single plan, tailored to each venue, and we give you the fixed price in the demo, with no obligation. What we can tell you is what goes on each line:
- One fee per venueWhat changes the fee is what your business needs and how many venues you have. It doesn't change with waiters, devices or how much you sell.
- Unlimited licencesThe POS and the ordering app on all the phones, tablets and computers you want: the fee is the same with one device as with twenty.
- What you take is yoursFood&Service keeps nothing of what you take with your card terminal or in cash. You can keep yours or use the integrated card terminal, with exclusive terms for customers. Only online payments with FYS PAY carry a fee, and only if you turn them on.
- With what you already haveIt runs in the browser of your tablet, phone or computer. If you're missing a printer, a cash drawer or a card terminal, we quote them at customer prices.
- VeriFactu and TicketBAI includedEach invoice is sent to the tax authorities on its own as soon as you turn sending on, and our responsible statement is published.
- Support 365 days a yearBy phone and WhatsApp, with people who know hospitality, and included in the fee.
- No minimum termYou can cancel whenever you want and it takes effect at the end of the period you've already paid for.

How much does a restaurant POS system cost?
What it really costs is the sum of the fee, whatever is charged separately for each device or module, the hardware, the card terminal fees and the setup, for as long as the minimum term lasts. Ask for every line in writing and add them up over a year: that's how you compare two quotes.
What hardware do I need for a cloud POS?
To start, a tablet, a computer or a phone with internet. To print receipts and kitchen tickets, a thermal printer; and depending on how you take payments, a cash drawer and a card terminal. Ask whether the program makes you buy its own hardware or works with what you already have.
How much does a card terminal charge per payment?
Each bank or provider negotiates its own merchant service charge. Spain's Law 18/2014 only caps one part, the interchange fee: 0.2% with debit, up to 7 cents, and 0.3% with credit, and less for payments of up to €20. Ask for the full rate in writing, for debit and credit, and compare it with the ones the Bank of Spain publishes.
Does my POS have to comply with VeriFactu?
Yes. VeriFactu is postponed to October 2028: Spain's Ministry of Finance announced it on 5 October 2026 and it still has to be published in the BOE, Spain's official gazette; until then, the legal dates are 1 January 2027 for companies and 1 July 2027 for everyone else. The tax authorities don't approve software: ask the provider for its responsible statement. Having software that doesn't comply is fined €50,000 per financial year.
What is a POS minimum term?
The months the contract binds you even if you want to leave earlier. Ask how many there are, what you pay if you leave and whether it renews automatically. Food&Service has no minimum term: cancellation takes effect at the end of the period you've already paid for.
Why doesn't Food&Service publish its prices?
Because every business needs different things. In the demo we show you the program with a case like yours and give you your fixed price, with no obligation. The fee doesn't change with the number of waiters or devices, or with how much you sell.
